What to ask in a procurement software demo

Questions finance leaders and business owners can use to evaluate purchasing software against their actual work.

A procurement demo is most useful when it follows a real business question. You do not need to share confidential data to discuss how your team buys.

What organisational problem are we trying to address?

Start with follow-up effort, purchasing decisions, or work interrupted by missing resources. Ask which workflow supports the outcome and what would need to be measured. Do not assume that buying software guarantees savings or timely delivery.

Can we walk through a request?

Ask how a requisition is created, submitted, reviewed, approved, or rejected. Look at the information captured and the status the team can see.

How are supplier enquiries organized?

Ask how items and suppliers are added to a quotation request, and how those requests are sent. If you need automatic comparison or scoring, ask explicitly whether that is supported rather than assuming it is part of quotations.

What happens to the purchase order?

Ask to see creation, approval, sending, cancellation, and status review. Check which actions are supported after an order has been created.

Can we try the AI assistant on a relevant task?

Try supported questions about your requisitions, purchase orders, or quotations. Inspect the returned records and check whether this makes finding context easier. Discuss configuration, usage limits, and data handling before using sensitive data.

What is outside the scope?

Discuss accounting, invoices, payments, budget enforcement, and integrations as separate requirements. A procurement workflow does not establish that all of those capabilities are included.

What will the proposal include?

Clarify users, setup requirements, pricing, and support. Keep the proposed scope in writing so the team can make an informed decision.
