What should your organisation gain from procurement software?

A practical way to evaluate purchasing costs, resource-related work interruptions, supplier value, and administrative effort.

A feature list is not a business case. Start with the purchasing decisions, resource needs, and follow-up effort your organisation wants to improve.

Cost control: understand the commitment before buying

Structured requests, supplier quotation enquiries, and purchase-order approvals give a team places to review needs and commitments. eTatua supports these workflows; it does not promise automatic budget enforcement or a fixed saving.

Compare like-for-like delivered costs, including specification, quantity, taxes, delivery, and relevant service terms. Lower total spend is not necessarily a saving if the organisation simply bought less.

Bulk buying: an opportunity to assess, not an automatic saving

Compatible, recurring needs can be worth reviewing together. A supplier may offer volume pricing, but a larger order can tie up cash, require storage, or create waste.

Use purchasing records as context for a team-led discussion about demand and supplier offers. eTatua is not presented as an automatic demand-consolidation or discount-negotiation engine.

Productivity: follow up on the resources work depends on

Missing tools, supplies, or services can interrupt employees' work. Clear requests and visible approval/order status can help responsible staff follow up on pending purchasing steps.

Measure the request-to-approval and approval-to-order intervals where reliable timestamps exist. Ask teams to record interruptions and waiting time separately. An approved order is not proof that an employee received what they needed.

Planning, funding, supplier lead times, and fulfilment still matter. Software alone does not guarantee timely delivery or prevent stockouts.

Supplier selection: value is more than the lowest price

Compare the same requirements and consider delivery, installation, recurring charges, quality, reliability, and payment terms. Supplier contacts and organised quotation enquiries support that work; they do not replace it with automatic scoring.

Supplier reports require reliable source data and clear definitions. Total spend or order count does not establish which provider is the most cost-effective. Confirm any report's coverage and calculations before using it in a decision.

AI assistance: test whether finding context takes less effort

Try supported record lookups such as "Show my requisitions" or "Show my purchase orders." Evaluate whether the returned summary helps with a real task, including the effort needed to check it. Do not substitute an AI answer for a purchasing approval.

Build a baseline before claiming improvement

Use comparable periods and a consistent sample of purchasing work. Track follow-up effort, approval-to-order time, like-for-like costs, and resource-related interruptions. Some measures may need manual records; this guidance does not imply a built-in ROI dashboard or export for every metric.

Do not attribute savings or productivity changes to software alone without evidence.
